Spurcroft Primary School is a West Berkshire larger-than-average primary with about 350 pupils aged 3-11. The school offers before and after-school clubs for its pupils, which are paid for by parents either through Childcare vouchers or direct payment.
Spurcroft Primary use the PFM software to manage the bookings and finances of the before and after school clubs, with summary information being transferred to the central FMS system for banking.
Bookings for the before and after-school clubs are made a school year in advance, with the ability to cancel or change with a fortnights notice. Invoices are produced automatically for the parents using the PFM software, one term in advance which are provided to the parent together with a booking summary also produced by the software. Should parents vary or cancel sessions, this is recorded on PFM and automatic credit notes created. Any absences are also recorded which are reflected on attendance records and reports.
Parents can book their children onto different types of session including a breakfast club, full and half afternoon sessions, extra hours, holiday half day and holiday full day sessions, each of which attracts a different cost.
Sessions are paid for using childcare vouchers, cash and cheque or direct bank transfer. Online payments are taken using the Teachers2Parents SchoolMoney system, which automatically imports into the Private Funds Manager posting the payments to the correct pupil & club. Each of these payments are recorded against the individual pupil which allows parent statements to be produced showing any amounts outstanding.
Weekly registers are printed from the Private Funds Manager for the person running each club so that attendance can be noted and any additional children recorded.
