The Excess of Income over Expenditure Figure

If you delete a Short Codes that has an Opening Balances,  for example at Year End or when first setting up the system, then the Opening Balance figure cannot  be abandoned and so is transferred to an area called Excess of Income over Expenditure. This therefore acts essentially like a ‘bucket’ for balances that are no longer attributed to any particular Short Code.

You may be happy to leave this figure in Excess of income over Expenditure or you may prefer to transfer it, either to some other Short Code or maybe into a Reserve Short Code.

To transfer balances from Income over Expenditure to another Short Code:

  1. Print a Summary Balance Sheet so you know the amount that has been transferred to Excess of Income over Expenditure. For example, lets say it is £100
  2. Go to Reports By Account - click on the Excess of Income history button to get a break down of exactly what the figure is composed of.

  1. Go to Transaction Entry – Transfers - Short Code Transfers

In the ‘From’ Box select   Xs of Income over Expenditure

In the ‘To’ Box select  whichever account you wish to transfer the balance to.

Select date required

In Ref type some narrative

In Amount type the figure required, in our example £100

This clears the Excess of Income over Expenditure figure
