Gift Aid Accounts

To set an account as a gift aid account, go to Accounts Maintenance and select the account.  At the bottom of the screen is a Gift Aid tick box. Tick box if money received for this account is to be gift-aidable generally speaking (it doesn’t matter at this stage if not all moneys are subject to gift aid reimbursement).  Gift aid is NOT available on By Individual accounts.

Record Gift Aid received in Transaction Entry - Receipts - By Short code (if part of your banking) or Direct Receipts (if standing orders/ direct debits).  Call up a gift aid account, and complete the information required.  If the person donating has done so before, use the Existing Donor pull down arrow.

Enter the  amount recieved for standard, higher and zero rate tax (usually standard).  Split money between cash & cheque, and tick declaration made.  Click on SAVE.

Setting Up Gift Aid Donors in advance

In Accounts Maintenance create a new short code called something like GIFT – Gift Aid Setup Account .  At the bottom of the screen tick the box that says Gift Aid

Go to Trans Entry – Receipts – Direct Receipts

On the first line select the GIFT account and the Gift Aid popup screen appears

Enter the details of your first donor – if there is a pupil of the same name select this to input address details.  Make sure the postcode shows in the postcode box.

In the Tax at Standard Rate, enter 0.01 then click on SAVE

5.   Repeat for all other donors you wish to set up at this time.

Once they are all listed, enter a final line but instead of a real donor name enter a donor name of CONTRA with an address that has X on the first line and X in the postcode.

Enter a value equal to the sum of the items entered above, but as a negative, eg if you have entered 8 x 0.01, enter -0.08 as the Tax at Standard Rate amount.

7.   The net effect on the accounts will be ZERO. Click on BANK IT.

These donors will now be in the database ready to use when required.
